Job Summary

Responsible for management of the Canton-Potsdam Hospital (CPH) PPM sites servicing patients in and around CPH in St. Lawrence county New York.  Supports the operational needs of the practices.  Assist in the implementation of transforming the practices into a patient-centered medical care site.  Reports directly to the Director of Physician Practice Manager, with indirect reporting to the PPM Vice President (VP) of PPM.

Core Responsibilities

 

Management:

Manages, coaches, and mentors PPM Practice Supervisors.   Oversees practice staff members at multiple CPH PPM care sites following established standards and practices.

Responsible and accountability for facilitating clinical and clerical staff work scheduling in direct collaboration with other Practice Supervisor(s) as applicable.

Performs daily functions of management of provider patient schedules.  Provide open and clear communication and collaboration with PPM management team, and CPH to the physicians, other providers, and support staff.

Provides direct support to providers as needed throughout the work day.

Responsible for assuring that revenue cycle processes are compliant with all requirements for timeliness, completeness, and accuracy.

Assists in managing the implementation and continued use of the electronic medical records (EMR) at required PPM Sites.

Assists in managing the onboarding of new providers and practices in operations and training capacities at required PPM Sites.

Assures that all providers and staff members are adequately trained in the use of the EMR and monitor compliance.   Provides opportunities for training / retraining to all providers and staff member in collaboration with appropriate PPM personnel.

Assures that all patient encounters, whether in person, electronically, telephonic, via other communication links is achieved in a professional, timely and accurate manner.

Adheres to CPH and PPM policies and procedures, protocols, guidelines, etc.  Is resource to providers and staff on same.

 

People:

In direct collaboration with Director of PPM:

Assist in human resources activities for staff development including job posting, interviewing, hiring, orientation, training and continued education of staff on all practice workflow processes to ensure compliance with medical regulations and office performance standards.  Initiates and assists in staff discipline actions in compliance with CPH H/R policies and procedures.

Is knowledgeable about all elements of appropriate 1199 SEIU United Healthcare Workers collective bargaining agreements.

Is aware of the circumstances that would trigger the reporting on an event to CPH and PPM.  Initiates investigations as needed.  Assists all PPM management team with investigations of patient complaints, incidents.  Performs staff education if needed in resolution of an event.

 

Financial:

Effectively controls practice expenses.  Manager is responsible for medical and clerical supply levels, ordering and monitoring supply cycle so that all providers and staff members have the supplies and tools needed to provide a satisfactory and high quality patient encounter.

Assists in development and monitoring of insurance contractual relationships including knowledge of provider participation, coding and billing, financial counseling, and other financial processes.

Review provider production reports (on a periodic basis, i.e., monthly, quarterly, annual and ad hoc) for performance standards (productivity, service, patient satisfaction, etc.).  Assists in development and communication of action plans for improvement

 

Regulatory

Works to establish, educate, maintain and monitor all standards required under the accreditation standards of Det Norske Veritas (DNV).  Assists in facilitating the on-going education of all site providers and staff.

 

Other:

Participates in ad hoc projects, as assigned.

Assists in management of the implementation and continued use of the electronic medical record (EMR), including meaningful use.

Collaborate with PPM management team to address daily operational issues and solve problems to comply with the delivery of quality patient care.

Integrates CPH mission and core values within the sites.

Develops plans as necessary to ensure the successful operation of PPM sites.

Works in collaboration with CPH and PPM departments as warranted.

Other duties as assigned.

 

Required Experience:  3-5 years practice management in a healthcare setting; strong human resources management/administrative background; knowledge of financial systems and analysis, computer systems and applications.  Skilled in personnel management, organizing, planning, exercising initiative, judgment, problem-solving, decision-making, development and maintaining effective relationships with providers, clinical and clerical staff, patients and the public.  Effective verbal and written communication skills.  Knowledge in electronic health record implementation and usage.
