Job Summary

Leadership role of one PPM Physician Practice Management Site. Act as a liaison and assistant to the Practice Manager regarding state of office.  Leads office in accordance with CPH’s policies and applicable laws.  Reports directly to the Practice Manager with indirect responsibilities to the Director of PPM.

Core Responsibilities

  1.  Leadership

Assists Practice Manager and Clinical Nurse Manager with clinical and clerical staff members at assigned CPH PPM Practice and/or Specialty, in tasks such as:

  • Office productivity utilizing software applications such as eClinicalWorks, Kronos, E-Way, RL6 Event Reporting, NRC Picker and other.
  • Assists in communicating reporting to practice staff providers, including but not limited to Unlocked Notes Reports, Incomplete Documentation/Charge Reports, Productivity Reports, and No-Show Reports.
  • Contributes to the success of office operations in areas such as billing, personnel, information management, electronic health records, and requisition of supplies.
  • Relays PTO requests to Practice Manager.
  • Assures that all patient encounters, are carried out in a professional, timely and accurate manner; lending to positive outcomes and excellent patient satisfaction
  • Provides direct support to providers as needed throughout the work day.
  • Acts as an “in-house” resource to providers and staff.
  • Carries out staff and provider scheduling; and monitors patient scheduling for timeliness and effectiveness.
  • Works to gain expert knowledge of software applications such as eClinicalWorks, Kronos, E-Way, RL6 Event Reporting, NRC Picker and other; and trains office staff in same.
  • Works closely with PPM Leadership Team to resolve clinical and clerical issues (processes, performance, etc.) and to identify opportunities for improvement.
  1.  People

In direct collaboration with Practice Manager:

  • Assist in human resources activities for staff development including job posting, scheduling interviews, and on-boarding of staff.
  • Professionally and pleasantly communicates with other CPH Departments.
  • Assists PPM management team with investigations of patient complaints and incidents. Performs staff education if needed in resolution of an event.
  • Maintains contact and positive relationships with patients, suppliers, insurance carriers, and extended team members.
  1. Financial
  • Responsible for medical and clerical supply levels, including ordering and monitoring supply cycle so that all providers and staff members have the supplies and tools needed to provide a satisfactory and high quality patient encounter.
  • Provide Daily Reporting on detailed criteria such as visits, charges, adjustments, collections, no show appointments, no charges visits, and other as assigned.
  • Assists in monitoring knowledge of provider coding and documentation completeness.
  1.  Other
  • Participates in ad hoc projects, as assigned.
  • Assists in the implementation and continued use of the electronic medical record (EMR).
  • Collaborate with PPM management team to address daily operational issues and solve problems to comply with the delivery of quality patient care.
  • Integrates CPH mission and core values within the sites.
  • Develops plans as necessary to ensure the successful operation of the PPM Site.
  • Works in collaboration with CPH and PPM departments as warranted.
  • Other duties as assigned.
