Job Summary

Applies professional administrative knowledge and skill and is responsible for administrative systems, processes, procedures and constructing projects in the Quality Management department.

 

Provides administrative assistance to the Director and quality management staff including case managers, social worker, infection prevention specialist, clinical documentation specialist, clinical outcomes specialist, case management specialist and assistant director.

Core Responsibilities

Manage office information accurately including hard copy and electronic files and data ensuring appropriate confidentiality of information access and retrieval; utilizes office information systems for on-demand information retrieval, preparation of communications and reports

Ensures essential communication is composed, produced, organized and disseminated for specific recipients, including managing electronic and hard copy mail, preparation of committee meeting announcements, correspondence to internal and external recipients, preparation of information packets, responding to telephonic, electronic and hard copy communication.

Provides clerical support to selected medical staff committees and hospital committees including; Board Quality/Patient Safety committee, DNV council, P&T committee, UR/Medical records committee, Infection Prevention committee by;

  • Preparation of meeting notice with  agenda with all attachments  and delivery to committee members
  • Accurate Preparation of all meeting materials including reports, data, presentations
  • Accurately completing committee meeting minutes timely that are concise and succinct
  • Follow up on action items timely

Create and continuously improve highly effective office systems, processes and procedures by analyzing current and anticipated department office needs and providing an efficiently organized means of meeting departmental needs. This includes but is not limited to ordering of office supplies, preparing reports, general filing, typing, management of policy and procedures, data entry.

 

Provides service excellence to internal and external customers through office reception practices, communication management practices, professionally managing customer needs and concerns, anticipating and responding to customer requests or making active referral to subject matter expert/decision maker that can fulfill the customer’s request.
