Job Summary

Under the administrative direction of the Director of Program Management and Solutions Delivery, the IT Project Coordinator is responsible for managing projects, which includes the evaluation, selection, development, implementation, upgrade of major clinical, patient management, business and strategic systems application software. The IT Project Coordinator identifies and develops project goals and scope, impact analysis, timelines, implementation strategies and evaluation methods. They identify decision-making issues and key stakeholders, develop and implement strategies to encourage and obtain stakeholder and/or community awareness and support, and identify project partners.

 

The Project Coordinator identifies and coordinates with program and advisory committees, administers project budgets, authorizes expenditures and develops and monitors contracts. They coordinate publicity and development of informational materials. They may train and advise staff, project advocates, and project participants. They plan, facilitate and conduct meetings. They measure, evaluate and communicate project performance. They follow established program/project management and system selection methodologies. They may provide tier 3 support for specialized applications or development projects. The areas to be served by this position include all entities of Health System.

Core Responsibilities

Project Coordination/Management Methodologies

Utilizes the applicable project management tools or enhances current tools to effectively meet project objectives. Tools include but are not limited to impact analysis, risk analysis, scope definition, stakeholder analysis, work breakdown structure, project timelines, change control analysis, issues log, close out documentation, status reports, etc.

Utilizes change management to control deviation from project plan.

Establishes project team, roles, and responsibilities and educates team on the process to follow, objectives, communication plan, expectations, etc. Monitors adherence to all established methodologies and implementation strategies.

Presents project information to management, escalates issues appropriately, provides recommendations, and develops timelines that are in line with strategic objectives. Plans, facilitates and conducts project meetings with clear goals.

Identifies and develops product requirements and functional specifications by working with members of IS, customers, vendors and other technical resources.

Manages vendors and utilizes statements of work, contracts and established business relationships to secure vendor commitment.

Ensures that project and support documentation is developed which should include a plan for ongoing maintenance and use.

Perform quality assurance activities throughout project lifecycle.

 

Project Support and Administrative Duties

Coordinate internal resources and third parties/vendors for the successful execution of projects.

Assist in the definition of project scope and objectives, involving all relevant stakeholders and ensuring technical feasibility.

Work with IS Leadership and Department Leaders on resource management/planning, availability and allocation of various resource needs according to program/projects pipeline.

Based on provided scope and requirements translate them into tasks, schedule and assign tasks.

Create and maintain comprehensive project documentation.

Develop and monitor contracts. Work with vendors to ensure basic components are included in the contract prior to presentation to management.  Components are defined in the system selection process.

Track expenditures, vendor hours and compare back to contract. Provide recommendations regarding future expenditures, i.e. operating costs, additional modules, additional development, hardware and storage requirements, etc.

Track and analyze project performance, cost performance, schedule and report to management on potential changes to project scope, project schedule, and project costs, being able to suggest the improvements to all the above.

Educate customers on capital expenses vs. operating expenses, direct and indirect costs and the procurement process.

Acts as a technical consultant to other departments.

Able to take broad request for assistance and perform cost benefit analysis studies, return on investment studies, and interpret those into a solution best suited for the organization.

 

Team Development:

Provide training to project team members.   Training to include overview of teams, methodologies, tools, soft skills, etc.   Training to be provided in the initiation phase of each project and as required throughout the project.

Support project teams on project work to keep project on track according to agreed-upon schedule.

Upon completion of formal training or technical conferences, provides an in-service/training session to team members within 60 days.

Provides direction to CPH Super Users regarding test methodology for ongoing application/interface testing, signoff and ongoing monitoring and support.

Provides coaching, mentoring and training to identified employees. Provides ongoing training including methodologies, presentation skills, vendor management, operational requirements, support procedures, tools, documentation, etc. Meets with identified employees at least once per month to review training needs and ongoing issues.

Participate in team’s performance reviews when asked.

Required:             

Proven and demonstrable knowledge of healthcare systems implementation experience.

Experience creating work breakdown structure (WBS) - translate requirements into tasks

Experience with task scheduling and resource assignment

Experience with project management practices and tools to create, manage, and track project performance, cost, verify scope.

Ability to perform multiple tasks concurrently.
